How to Share a Google Calendar – A Step-by-Step Guide

Picture this: you're trying to coordinate a family reunion, a group project, or a surprise party for your best friend. You've got all the details mapped out in your Google Calendar, but now you need to share it with everyone else involved.

In this step-by-step guide, we'll walk you through the process.

Step 1: Open Your Google Calendar

First things first: open up your Google Calendar. You can do this by going to and logging in with your Google account. Once you're in, you should see your main calendar view, with all your events and appointments displayed.

Step 2: Find the Calendar You Want to Share

Next, locate the calendar you want to share in the left-hand sidebar. If you only have one calendar, it will be selected by default. If you have multiple calendars, click on the one you want to share to highlight it.

Step 3: Click on the Three Dots

Hover your mouse over the calendar you want to share, and you should see three vertical dots appear to the right of the calendar name. Click on those dots to open up a dropdown menu.

Step 4: Select "Settings and Sharing"

From the dropdown menu, select "Settings and sharing." This will take you to a new page with all the settings and sharing options for that particular calendar.

Step 5: Scroll Down to "Share with Specific People"

On the settings page, scroll down until you see the section labeled "Share with specific people." This is where you'll enter the email addresses of the people you want to share your calendar with.

Step 6: Enter Email Addresses and Set Permissions

Click on the "Add people" button and start typing in the email addresses of the people you want to share with.

As you type, Google will suggest contacts from your address book. You can also choose the level of access you want to grant each person:

  • "See only free/busy (hide details)"
  • "See all event details"
  • "Make changes to events"

Step 7: Send Invitations

Once you've added all the necessary email addresses and set the appropriate permissions (we recommend "free/busy" access), click the "Send" button to send out the invitations. Your recipients will receive an email notification with a link to view your shared calendar.

Step 8: Manage Your Shared Calendar

After you've shared your calendar, you can manage your sharing settings at any time by going back to the "Settings and sharing" page. From there, you can add or remove people, change permissions, or stop sharing the calendar altogether.

And there you have it – sharing a Google Calendar in just a few simple steps! Whether you're coordinating a big event or just trying to keep everyone on the same page, sharing your calendar can be a real lifesaver.

Just remember to choose your sharing permissions wisely – you don't want to give everyone free rein to make changes to your carefully planned schedule!

Happy sharing!
